GENERAL INSTRUCTIONS

What is DataStorePC?
DataStorePC is a fully automated online backup and recovery solution for your desktop and laptops. Did you know 60% of a company's data is stored on PCs and laptops (source: Gartner).

That is why having a PC solution is so important! DataStorePC eliminates the uncertainty of traditional PC backup methods, which generally rely on users to perform backups to CD or the network - Instead DataStorePC uses an automated process that sends your users' critical data off site via the Internet to a secure data center.

With DatatStorePC, you can recover user data reliably when needed, speeding up migration to new PCs, and reducing server storage needs. In addition, you can reduce or eliminate help desk calls from users who have lost data, backing up with DataStorePC is quick and easy to use.
What are the best "fits" for DataStorePC?
DataStorePC is ideal for companies that
  • Recognize that their current manual backup processes do not completely and effectively protect user data
  • Do not currently have an established process for PC backup.
If a company has recently experienced data loss due to hardware failure, theft of a laptop, or a virus attack, these companies will especially appreciate the value offered by NuVox's DataStorePC.

DataStorePC is an automated service that runs in the background and performs daily, reliable backups. It completely removes user responsibility and guarantees recoverability with no additional work.

In addition, DataStorePC dramatically reduces in-house storage requirements by enabling businesses to leverage low-cost PC storage while still providing a reliable and secure backup of user data that is off site and accessible.

DataStorePC is also a perfect fit for:
  • Companies with a large number of mobile PC users
  • Small and medium size companies with limited Information Technology (IT) staff
  • Remote offices or branches offices with few or no dedicated Information Technology (IT) staff.
Companies looking to reduce their enterprise server storage requirements or their Help Desk call volume will also find DataStorePC an optimal solution.
How do I determine which DataStorePC Plan is best for me?
To choose the best DataStorePC Plan for you, first determine how much data you currently have, then estimate how much future data you will need to protect.

To determine the total amount of data on your PC:

1. Right-click the Windows Start button.
2. Select Explore to open Windows Explorer.
3. In the folders menu, right-click a drive letter.
4. Select Properties.
5. A pop-up window displays the drive's properties, and a graph will     indicate the amount of data on the drive.
To determine the right service plan (how much data to protect in total):
This depends on your specific organization an the number of users in your organization. As a guideline, the average PC or laptop will need to back up about 2-5 GB.
How reliable and secure is DataStorePC?

When you need access to your data, your data will be ready and waiting for you. With DataStorePC, your data is housed within Iron Mountain's Data Center, where it is fully mirrored and designed to be highly available. The average uptime over the past five years is better than 99.99%.

If for some reason your files have not been successfully backed up, DataStorePC will alert you. You can then run an unscheduled backup to ensure that all of your data is protected.

DataStorePC provides the highest level of digital security available. Data is encrypted at the desktop, using government-level, 128-bit, Advanced Encryption Standard (AES). All desktop and laptop data remains encrypted both during transmission and in storage.

NuVox Communications takes data protection very seriously. NuVox's partnership with Iron Mountain Digital specializes in off-site data protection and storage of PC data.

DataStorePC
provides security at every level from backup through storage through data retrieval. With DataStorePC initiating backups, Data Center servers are responsible for managing the data and keeping this data secure.

  • Backup & Retrieve Session Security- Prevent unauthorized parties from gaining access to users’ data during transfer over the Internet.
  • Archive/DataCenter Security- Prevent unauthorized parties from gaining access to users’ data on the server.
  • Administrative/Client Account Security- Prevent unauthorized parties from deleting users’ data from the server.
  • Security Integrity- Ensure the integrity of your data with physical security places and secure offsite facilities. Data is encrypted both during transmission and storage, using government-level 128-bit AES encryption. In addition, your data is stored in one of Iron Mountain’s National Underground Site (NUS) facilities in Boyers, PA and Kansas City, MO. These facilities provide unsurpassed Data Center security. Data is mirrored to a second data center to ensure redundancy and fail-over.

How fast does your Internet connection have to be?
DataStorePC is based on patented technologies that minimize bandwidth requirements. DataStorePC ensures reliable, consistent, and secure backups even over a dial-up connection. DataStorePC technology allows only changed data—at the block level—to be saved. When a document changes, only the changes are backed up. This minimizes:
  • Network traffic
  • Reduces backup time
  • Enables backup even over dial-up connections
  • Cuts the overall size of stored files
Another patented technology backs up common files to a pool, preventing extra copies of shared files from being stored on the Data Center server. Users are saved the time and expense of storing the same files over and over again.
How is email protected?
Most businesses consider email to be a business-critical application. Most organizations are also experiencing exponential growth in the amount of data encompassed in their email system. Information Technology (IT) departments attempt to control this data growth by limiting user mailbox storage sizes.

This encourages users to create personal mailboxes on their PCs to store mail. With NuVox’s DataStorePC, users and Information Technology (IT) staff alike can finally be sure that all user mail is backed up and can be recovered—even if it is stored on the PC.

DataStorePC is includes a feature which enables fast and efficient backup of local email archive files (*.pst -Microsoft Exchange and *.nsf Lotus Notes).
What if there are network interrupts or outages?
DataStorePC will automatically reconnect after a line drop. Further, DataStorePC will also restart "mid-file", minimizing backup time even when Internet interruptions occur.
What is the compression rate for DataStorePC?
Compression rates vary by file type and data type, but generally, most data files are compressed to a 5-to-1 ratio. Some file types, however, may not be compressed. Your data is compressed and encoded as it is copied from your PC to the Data Center.
Does DataStorePC work with a firewall?
DataStorePC automatically works with virtually any existing firewall in any security architecture.

USING DATASTOREPC QUESTIONS

How can data be retrieved?
You have instant access to your backed-up data using one of the two methods:
  • Through a secure web portal.
  • By accessing it directly from the protected PC through a simple user interface.
Using either method, you can restore accidentally deleted files in minutes. From the web portal, Information Technology (IT) staff or individual users can retrieve data—any time, from anywhere—with just a few mouse clicks. Since the process is quick and easy, most times users do not require help from IT to retrieve data.

You can also easily migrate user data from one PC to another—an often time consuming task for business owners, Information Technology (IT) staff, or administration. With DataStorePC, it becomes a painless task that can be accomplished quickly.
How do you deploy DataStorePC to distributed users?
DataStorePC offers the tools required to ensure easy deployment across many locations. Both client configuration and backup rules are managed centrally. Once the initial full backup is completed, automatic backups complete in minutes, using a set schedule and configuration.

Data retrieval can be accomplished through the product interface or via the DataStorePC web portal from any PC with an Internet browser.
How often do you use DataStorePC to back up your files?
DataStorePC provides users or departments with the flexibility needed to create custom backup configurations. Information Technology (IT) departments can control the type of data that DataStorePC backs up, or they can allow end-users to change a variety of backup options to suit their particular needs. In addition, the backups can be run:
  • On a schedule:
       • daily or on specific days
       • at a certain time of day or distributed throughout the day between all the      PCs to avoid network spikes, etc.
  • On demand: the user can run a backup when they choose.
What types of files can be backed up?
DataStorePC backs up data files, which are created by the PC user. Examples of data files are documents, spreadsheets, and preferences that the user defined in software used.

Only files of specific extension types are selected for backup by default. Most audio, video, executables, and compressed archives are not selected for backup by default. So if you need these files backed up with DataStorePC, please make sure you designate these file types.
What kind of permission is needed to download the software?
DataStorePC is password protected. You can select a password during the setup process.
How can you view what file types will be backed up?
1. From your Desktop, open the DataStorePC Backup Agent.
2. Click on the tab "Backup Set" on the left side of the window. It may take a        few seconds for the question marks to disappear.
3. Once the question marks are gone, choose the "Tools" pull down on the top and      select "Advanced Rules".
4. Look at the “Locked, User-Created, and Un-locked" tabs across the top.
5. You can click on a rule in the top half and see the affected directories and or      extensions that will be affected by that rule. The Exclusions will not be backed      up.
Once my data is backed up, how long is the data retained?

  • You delete a specific file(s) from your hard drive DataStorePC maintains the most recent version of this file for 90 days.

  • You change your DataStorePC settings to exclude specific files(s) from being backed up. DataStorePC maintains the most recent version of the excluded file(s) for 7 days.

  • You make revisions to a backed up file DataStorePC maintains the most recent version of the file, as well as the previous 9 versions of the file. This allows you to retrieve your most recent work, or any of the 9 other versions!

  • You cancel your DataStorePC services Your data that has been backed up to the Data Center will be available for 30 days after your account is closed.
Can certain files be omitted from the backup process?
Yes. DataStorePC allows you to select or de-select files to be backed up or restored.
Can I change my password?
Yes. Each user can change the password for the Backup set.
What happens if files are open?
DataStorePC will back up all files that are in use, regardless of the file type.
Can you retrieve multiple/historic versions of files?
Yes. You can restore current or historic versions of files that were backed up, up to 90 days ago or 10 versions. This is especially important when data gets corrupted, for example, due to an application crash. The ability to revert to a version prior to the infection makes recovery faster and easier, minimizing the amount of data lost as well as keeping user downtime to a minimum.
